Club Management Software Buying Checklist

Compare club software by real workflows, migration, committee continuity, privacy and total cost—not by feature-list length.

A useful software decision starts with the work your club must get done and the people who will do it. Use a shared scorecard, insist on a realistic walkthrough and record unknowns instead of filling them with sales assumptions.

Write down the club's must-do workflows

Choose three scenarios that represent ordinary work: a new member joins, an existing member renews, and the treasurer resolves a payment mismatch. Add the club-specific cases that matter, such as events, junior members, affiliate fees or committee role changes.

For each scenario, list current steps, owner, failure points and required result. Ask every vendor to demonstrate the same scenario using a representative dataset, not a generic slide deck.

Evaluate evidence, not promises

Score the workflow outcome, usability, access controls, reporting, support and export on a consistent scale. Ask what is available in the plan being quoted, what needs configuration, and what is not supported. Request a written answer for a deal-breaker.

Invite a volunteer who will actually use the system to take part in the demo. Have them complete a task without coaching and note where instructions, mobile access or terminology are confusing.

Calculate total cost and migration effort

Compare the same term, currency and member count. Add subscription, tax, payment processing, messaging, setup, training, add-ons, transaction fees and staff/volunteer time. Do not compare a monthly headline in one currency with a yearly total in another.

Ask for the import schema, duplicate handling, export format, attachment handling, data retention after cancellation and assistance included in onboarding. Run a small, permission-controlled migration sample before setting a cutover date.

Decide how the club can leave

Before signing, confirm that an authorised club officer can export member records and financial references in a usable format, and understand the notice, cancellation and deletion terms. Check whether your own domain, forms, payment account and social connections remain under club control.

Use the worksheet to record evidence, owner and follow-up. Weight must-haves more heavily than nice-to-haves, and keep a no-go list for requirements that no product meets.

Common questions

How many vendors should a club compare?

A short list of two or three credible options is usually manageable if each is tested against the same workflows and full-cost assumptions.

Is the highest-scoring product automatically the best choice?

No. Review deal-breakers and evidence quality alongside a weighted score. A high score based on unknowns or untested claims is not a reliable decision.
