Membership Administration for Governing Bodies

Use member organisation workflows and affiliate fee tracking for clubs that collect configured governing-body fees.

Member Link supports a defined affiliate-fee workflow: a club can configure governing-body fees to be collected alongside membership payments and tracked in remittance reports. This is useful for fee administration, but it is not a claim that Member Link consolidates the membership systems or governance of an entire federation.

Configure the fee relationship

An organisation can define affiliate fees and associate required fees with membership plans. The fee can be collected with a membership payment through supported Stripe checkout and recorded for remittance reporting. The club must agree the fee amount, eligibility rules and remittance process with the governing body.

  • Confirm which membership plans owe the affiliate fee.
  • Document the fee amount, currency and effective dates.
  • Agree who reviews the remittance report and sends funds onward.

Worked example: pass-through fee

Worked example: a club charges $100 in membership dues plus a $10 governing-body fee per member. If 20 members pay, the checkout total would be $2,200 before payment-provider fees; the configured affiliate component is $200 for the club to account for and remit under its own agreement.

The example is arithmetic only. It does not establish a tax treatment, settlement timing or automatic onward payment to the governing body.

Keep the audit trail and reconciliation

Review collected fees against successful payment records and the remittance report, then reconcile against the club's Stripe activity and governing-body agreement. Failed, refunded or disputed payments may affect what is due. Member Link's reporting helps trace the workflow; it does not replace financial control or automatically remit money.

Distinguish fee handling from federation management

The verified scope is club-level fee collection and reporting. It does not establish multi-level member records, centrally administered chapters, shared cross-organisation permissions, consolidated federation reporting or automatic remittance. A governing body evaluating broader administration should test those scenarios separately.

Good to know

Common questions

Can a club collect a governing-body fee with dues?

Affiliate fees can be configured for collection alongside membership payments and tracked in remittance reports. The club must configure the association and handle reconciliation and remittance.

Does Member Link automatically pay the governing body?

Automatic onward remittance is not verified. The available workflow tracks fee collection and remittance reporting; the club should follow its agreement and financial controls.

Does this provide federation-wide chapter management?

No such consolidated hierarchy is established by the affiliate-fee feature. Governing bodies should validate chapter administration, central records and cross-organisation reporting separately.
