Plan around the club's real moments

Each month, collect the next event dates, renewal milestones, open days and volunteer needs. Choose one post per week as a manageable baseline, then add timely updates only when there is useful news.

Use a balance: welcome and explain, show the activity, invite people to an event, and help current members understand a renewal or club decision. Do not make every post a sales message.

Use a four-week repeatable pattern

The downloadable CSV includes example rows with fields for audience, call to action, owner, channel, approval check and result. Replace the examples with events and stories the club can actually deliver.

  • Week 1: introduce a member-approved story or show what a typical session looks like; invite questions or visits.
  • Week 2: promote an upcoming event with a clear date, place, registration action and accessibility/contact details.
  • Week 3: explain a membership or renewal step, using approved prices and dates; give people a private contact route for account questions.
  • Week 4: recap a club moment or thank volunteers, then share the next month's dates.

Make permissions and accuracy part of the workflow

Before scheduling, confirm date, venue, price, link and any claim about what membership includes. Obtain permission for identifiable photos and quotes; follow the club's safeguarding policy for junior members and avoid sharing unnecessary personal details.

Assign an approver for announcements about fees, cancellations or sensitive issues. Keep the approval and final copy together so a volunteer can correct or remove a post if event details change.

Schedule, publish and learn

Member Link's application has social post creation, scheduled posts and publishing integrations for connected accounts; the integrations and permissions required vary by destination platform and account. Check current connections and supported post formats in the product before planning around a channel. Scheduling does not guarantee delivery if a provider connection expires or a post violates platform rules.

At month's end, record enquiries, event registrations or completed joins where observable. Use platform reach as context, not as a substitute for club outcomes.
