Online collection can cut manual chasing, but a payment button is only one part of a sound process. Decide how fees are presented, how receipts are matched and who follows up when payment does not complete.

Choose a collection method for each kind of charge

Recurring subscriptions suit a fee that renews on a predictable schedule and for which members have knowingly agreed to recurring billing. An invoice or one-off checkout is a better fit for joining fees, event charges, arrears or a once-a-year payment when the club wants the member to confirm each cycle.

Before choosing, document whether the organisation or member is merchant of record, which currency is charged, how refunds work and what payment methods are available in the club's country. Availability depends on the connected payment provider and account setup; do not assume all clubs have identical options.

Show the complete amount before checkout

Display the membership price and currency and explain any separate governing-body, processing or optional charge before payment. Avoid a surprise fee at the final step. If a fee is passed through, state who receives it and how the club accounts for it.

Ask the provider for the current processing schedule, payout timing, dispute fees and any recurring billing constraints. Compare the effective cost for a representative transaction rather than relying on a headline percentage alone.

Reconcile receipts and failed payments

Define a daily or weekly reconciliation owner. Match provider settlement records to invoices, account for refunds and fees, and keep pending, failed and paid states distinct. A successful checkout event and a bank payout are related but not identical moments.

For bank transfer or cash, provide a reference convention and record who matched each receipt. Do not mark an invoice paid solely because a member says a transfer was initiated; use the club's agreed evidence and escalation process.

Protect member trust while reducing admin

Use a reputable processor so the club does not collect card numbers in a spreadsheet or email. Restrict access to financial exports, establish refund approval roles and make a contact route visible on receipts.

Test the full path on a low-risk amount or test environment before launching: plan selection, displayed currency, payment outcome, invoice status, confirmation message and the treasurer's reconciliation view.
