Advance notice: make the next step clear

Subject: Your [season/year] membership is coming up for renewal

Hi [first name], Thanks for being part of [club name]. Your [membership type] is due to renew on [date]. Renew for [fee and currency] by [date] at [renewal link]. Your membership includes [specific benefits]. If your details or membership type have changed, contact [role/contact]. Questions? Reply to [contact details]. Thanks, [sender name].

A helpful early reminder tells members what they have now, what the next term costs and how to ask for a correction. Avoid broad claims about benefits that the club has not approved.

Due-date reminder: confirm payment details

Subject: Renew your [club name] membership by [date]

Hi [first name], Your [membership type] renewal is due [today/on date]. The fee is [fee and currency]. Renew here: [renewal link]. If you already paid, thank you—please disregard this note. For another membership option or help with payment, contact [contact]. [Explain accurately any access change after expiry.] Best, [sender name].

Test the link and amount for each plan before sending. If the club offers bank transfer, explain the correct reference and how members can report a mismatch.

Overdue follow-up: be polite and leave room for corrections

Subject: Can we help with your [club name] renewal?

Hi [first name], Our records show your [membership type] expired on [date], and we have not yet matched a renewal payment. If you have paid, please tell [contact] when and how so the treasurer can check. To renew, use [renewal link] for [fee and currency]. If you are not renewing or need to discuss an option, reply to [contact]. Thank you for being part of [club name].

Reconcile recent bank deposits and payment-provider reports before labelling someone overdue. Use a real deadline or consequence only if the committee has approved it and communicated it in advance.

Personalise safely and send thoughtfully

Keep merge fields simple and preview the message using representative records. Check whether a household guardian rather than the junior should receive the notice, and do not expose another household member's information in a message.

Send only to people the club may contact through that channel. Include a clear club identity, a reply route and any required preference controls. Never request card numbers, passwords or sensitive documents by email.

Good to know

Common questions

Can I use these emails without an account?

Yes. The templates are readable on this page and the complete pack downloads directly with no form or account gate.

Should an overdue email threaten loss of membership?

Only state a consequence that follows the club's approved rules and has been communicated clearly. First allow members to report an unmatched payment or correct their details.
