Digital waivers

Digital Waivers for Clubs and Events

Create online waiver forms, capture electronic signatures and associate signed waivers with members and events.

Member Link supports digital waivers with an electronic signature flow. Waivers can be public and embeddable, associated with a member and, where configured, an event, membership plan or payment. The software records the signing workflow; it does not guarantee a waiver's legal validity or replace legal review.

Create and publish a waiver

Organisation staff can create waiver content and configure its type, optional expiry and custom fields. A public signing page can be embedded or shared. Use clear, approved wording and confirm that the published version matches the club's intended activity and audience.

  • Identify the activity and the people expected to sign.
  • Review required custom fields and expiry settings.
  • Test the public signing experience before sharing the link.

Capture who signed for whom

Waiver records include the represented member and signer details. Household grants can allow an authorised guardian to sign for a represented dependant when the grant permits signing. The workflow records signer attribution and consent basis; the club should verify the represented person and applicable permission.

Link signatures to club activity

Waivers can be event-specific or activity-specific. A signing flow may be linked to a membership plan or payment where configured. Member and staff views can surface waiver signatures for follow-up, but a digital record does not confirm that an organisation has met its safety, insurance or legal obligations.

  • Worked example: before a junior event, staff publish an event-specific waiver; the authorised guardian signs for the selected dependant; staff review the signature against the registration list.
  • Keep a separate process for late changes, on-site exceptions and participants without portal access.

Set a review and retention process

Decide who reviews waiver wording, when a new version is required and how staff will handle an expired or missing signature. Preserve the appropriate record for your organisation's needs and apply your own data-retention policy. Seek qualified advice about legal requirements in your jurisdiction.

Good to know

Common questions

Are Member Link waivers legally valid?

Member Link provides an electronic signing workflow, but no legal-validity guarantee is made. Have qualified counsel review waiver wording and requirements applicable to your organisation and location.

Can a guardian sign for a child?

A household portal grant can include waiver-signing capability for a represented dependant. The club should establish the household relationship, grant the appropriate access and verify the signer attribution.

Can I associate a waiver with an event?

Yes. Waivers support event-specific use and can be associated with event activity. Review the registration and signature records together before the event.
